A maintenance management system is judged on a feature list and lives or dies on four things: whether the register is complete, whether the schedule can be staffed, whether work orders get raised at the machine, and whether the history is retrievable a year later. Add an asset with no location. Add two with the same name. Move one between sites. A register that accepts all three cheerfully will contain all three within a month, and the history that hangs off it will be ambiguous exactly where you need it.

Under a minute at the machine, with no signal, done by you rather than by the salesperson. This is the behaviour that determines the quality of everything downstream, because the alternative is not a worse record but a reconstruction written at the end of the shift with rounder hours and thinner findings. It is also the test most reliably glossed over in a laptop demo, so ask for a phone and put it in airplane mode.
Test the history by asking a real question
Pick one asset and ask what has been done to it in two years and what was found. If the answer needs an export and a spreadsheet, the history exists but is not retrievable, and it will not be retrieved.

How is this different from an EAM?
EAM adds spare-parts inventory, purchasing, capital planning and multi-site rollups. If you do not need those, you are buying configuration you will not turn on.
Can a spreadsheet be a maintenance management system?
For one person and a small register, genuinely yes. It stops working when a second person needs to answer what is overdue, which is the trigger worth waiting for.
What is the most common implementation failure?
An incomplete register. Every other part of the system is built on it, and a register imported half-finished produces a schedule with holes that nobody can see.
