Every figure printed on this site is arithmetic on the worked example we publish: 180 assets, 240 work orders a month, 35% of them raised as breakdowns, a breakdown job at 3.4 hours against 1.1 hours planned, a loaded technician cost of $48 an hour. A maintenance work order template is easy to find and easy to fill in; what is hard is knowing whether the schedule that generates them can actually be carried by the people you have. This worksheet answers that before the dates go in a calendar. It turns the asset register into a monthly load in hours, divides it by the technicians available, and prices it, so that a schedule is agreed as a commitment rather than discovered as a shortfall three months later.
Count the register, including the things nobody owns
180 assets is the worked example. The assets that get missed are the ones between departments: the compressor everybody uses and nobody is responsible for is the one that fails.
Multiply by what each actually needs a year
Four tasks a year at 1.1 hours is the default. Take it from the manuals for the assets that matter and estimate the rest; a wrong number you can see beats a right number nobody wrote down.
Divide by the technicians you have, not the ones budgeted
66 hours a month across three technicians is 22 each, which is carryable beside the reactive work. Across one, it is not, and the schedule will lose to the breakdowns every time.
Maintenance work order template: common questions
Should PM hours include travel between buildings? Yes, if it is real. A multi-building site with 15 minutes between plant rooms adds a quarter to every short task, and it is the commonest reason a schedule that looked carryable is not.
What about statutory inspections? Put them in as tasks, because they consume the same hours, but keep them marked: their intervals are not yours to change and the evidence requirement is different.
Is four tasks a year typical? It is a placeholder, not a benchmark. A pump on continuous duty and a roller shutter door do not belong on the same interval, which is why the worksheet takes your figure.
