Preventive maintenance software programs, and the four things to insist on

Updated

Preventive maintenance software is a crowded category in which most products do the same things, so the useful question is not what a product can do but what it makes hard to do badly. Four behaviours separate the products that change a maintenance function from the ones that digitise a spreadsheet: whether intervals float from completion, whether the schedule can be seen as hours rather than dates, whether deferral is visible without running a report, and whether closing a job without saying what was found is easy. This page is those four, in the order they will bite.

Intervals that float from last completion

A fixed calendar drifts the first time a job slips, and after two quarters the dates bear no relation to when the work was last done. Floating from completion keeps the interval real. Ask what happens to the next three occurrences when you complete a job late; the answer tells you which kind of product it is.

The schedule expressed in hours

60 jobs a month is a fact. 66 technician hours a month, $3,168 at a $48 loaded rate, is a plan, and only one of them can be compared against the people you have. Products that cannot show hours let schedules be written that were never staffable.

Deferral visible without a report

The list of jobs rescheduled more than once is the earliest warning a maintenance function gets, and it is worth nothing if it lives behind a report nobody runs. Ask where a supervisor would see it without being told to look. In products that bury it, the warning arrives instead as a breakdown, which is the same information several weeks later and several thousand dollars more expensive.

A found field that is hard to skip

This is the field that makes intervals improvable, and it is the first casualty of a hurried close. A product that lets a job be closed in one tap with no findings will produce a year of ticks and nothing to reason with.

Questions people ask about preventive maintenance software programs

Is preventive different from preventative?

No. One spelling is American and the other British, and vendors use both. Any comparison page that treats them as different products is selling something.

How much does preventive maintenance software cost?

Price it against your own reactive number rather than against competitors. On the worked example here, avoidable labour is $9,273.60 a month; your version of that figure decides whether a subscription is cheap.

Will it reduce breakdowns on its own?

No. It makes the schedule staffable and the findings retrievable; the reduction comes from acting on both. Software bought instead of a decision changes nothing.
